Brief Description:

Resonance is seeking candidates to join our dynamic team in the role of Operations Assistant on our USAID-funded Promoting Excellence in Private Sector Engagement (PEPSE) project. The Operations Assistant will provide critical implementation support and play a vital role in assisting the project with event planning, coordinating trainings, and carrying out administrative tasks. This is a full-time position based in Washington, DC, reporting to the PEPSE Senior Project Operations Manager.


Responsibilities:

The Operations Assistant will provide organizational and logistical support to the technical team in the following areas:

Communications
• Draft general project correspondence, approvals, reports, presentations, and other miscellaneous documents
• Write project updates, industry trends, and other noteworthy topics
• Support the preparation of client deliverables, including assessments, evaluations, trip reports, etc., including editing and ensuring adherence to client branding requirements
• Support the logistics for the PSE Community of Practice Quarterly Call, as needed
• Logistical coordination of client events and workshops
• Compiling and tracking team goals, monitoring progress toward production of deliverables on schedule

International and Domestic Event Coordination
• Research and secure conference venues, meals, and equipment
• Arrange trainer, consultant and/or participant transportation and accommodations
• Support creation, production, and distribution of training/event materials

Budget & Administration
• Scheduling client and team meetings
• Manage, submit and track client approvals
• Liaise with consultants to plan travel, generate consulting agreements, and complete expense reports
• Maintain, update and improve company databases and document retention systems
• Assist with preparing and tracking project budget spreadsheets


Qualifications:

• Bachelor’s degree in relevant field, and 1 - 2 years relevant work experience
• Proven ability to manage multiple priorities and ensure that key deadlines are met
• Outstanding written and oral communications skills, strong attention to detail
• Proficiency with MS Office (Word, Excel, PPT) and OSX applications
• Past experience in qualitative and quantitative analysis and data collection
• Understanding of and demonstrated passion for international development
• Experience working with USAID preferred
• Fluency in a foreign language (French, Spanish, or Arabic preferred)
• An interest in organization operational systems and making processes move smoothly
• Eligibility to work in US
